Tips & Tricks: FilePro 2012
With the New Year now in full swing there are some things to remember in regards to FilePro and creating 2012 sub-folders and permissions. Here are a some best practices to keep in mind…

Assigning permissions to your new 2012 Filepro folder

1. Creating Folders in FilePro for 2012 Agendas & Minutes
In FilePro navigate to where you want to place your 2012 folder. For example select the parent folder the new folder is to appear under such as “Agendas”, then the sub-folder (i.e. Regular Council).
Once the level has been reached where the 2012 folder is to be located, select “Add” in the top left of the screen, then “Create New Folder”. Name the folder and add the required security or check that it has inherited the same security as the parent folder.
2. Assigning Permissions
To assign permissions to the new 2012 folder, select the "Edit" button for the folder and then the “Security” tab.
Here you will select the User or Group from the “Allowed Access” area, and check off the applicable boxes for “View”, “Update” and “Delete”. Remember to select “Save and Close” to save your changes.
3. Change the Default Publishing Location of Agendas & Minutes
After the 2012 folder has been created in FilePro, navigate to Meeting Manager and select the “Administration” tab. Select “Meeting Type”, followed by the required meeting type (i.e. Regular Council). Navigate to “#7 – Publishing Folders”.
Choose either “Agenda” or “Minutes” and select the yellow folder icon for the required document (i.e. PDF Open Agenda). This opens your FilePro folder structure. Use the “+” to expand your chosen folder tree and select the required 2012 folder for the document to be published to.
4. If the Agenda/Minutes Have Been Published to the Wrong Folder
When in FilePro select the “Ordering Mode” button. Using the “+” to the left of the folder titles in the “Table of Contents”, open the location of the document you wish to move, and the location folder you would like to move it to.
Using the left button on your mouse, select the document to move, and keep your finger pressed on the mouse button. By moving your mouse you can then use the drag and drop feature, releasing the mouse button when the chosen folder location displays in grey. When all ordering has been completed select the “Ordering Mode” button again, this will change the button back to a paler grey.
